Voicemail: listen, read transcripts, change your greeting
Listen to voicemail on the Calls page, read each message as text, get it by email, and change your voicemail greeting by dialing *865.
Your voicemails are on the Calls page, on the call each one was left on. Click Unheard voicemail to see new ones. Tonet writes every message out as text and can email it to you.
Change your voicemail greeting
Record it by phone:
- From your Tonet line, dial *865. That works from the dashboard, the desktop app or your desk phone. In the phone app, voicemails play right in Home › call history › Voicemails.
- Your voicemail menu answers. It doesn't ask for a PIN.
- Follow the voice prompts to record your greeting.
Shortcut: on the Calls page, open ⋯, click Voicemail greeting and email, then Dial Voicemail to Record. It dials *865 for you.
Or upload a recording:
- On the Calls page, open ⋯ and click Voicemail greeting and email.
- Under Select Mailbox, pick your mailbox or the mailbox of a team you're on. A mailbox that has its own greeting shows Has Greeting.
- Click Choose Audio File and pick a WAV, MP3 or OGG file of 10 MB or less.
- Click Upload Greeting.
Under Current Greeting, Listen plays the greeting and Delete removes it. A mailbox with no greeting of its own plays the standard one.
Callers hear your greeting when you don't answer. *865 opens only your own mailbox, so a team's greeting is changed by uploading a file.
Listen to voicemail
- Go to Calls and click Voicemail, or Unheard voicemail for new messages.
- Click the voicemail button on the call. It shows the message's length, and it's filled in while the message is unheard.
- Listening marks a message heard. Mark heard does it without listening.
- The call's own page shows the voicemail too, under They left a voicemail, with Call back, Mark heard and Delete.
- The bell's red number counts unheard voicemails until they're heard. Its unheard voicemails · open link opens the Unheard voicemail list.
Read voicemail as text
Tonet transcribes every voicemail. The text shows in the call's details, on the call's page and in the voicemail email, and on the call's row when the call has no summary. While Tonet works, it says Transcribing….
Get voicemail by email
Voicemail to Email is on for everyone to start. Each email comes from noreply@tonet.ai, titled New Voicemail from and the caller ID. It shows who called, how long the message is, when it came in (in your account's time zone) and the text, with the recording attached as a WAV file.
To turn it off or on, open Calls › ⋯ › Voicemail greeting and email and use the Voicemail to Email switch. It's your own setting.
A team's voicemail goes by email to every member of the team who has Voicemail to Email on.
Who sees which voicemails
Everyone sees only:
- their own mailbox, and
- the mailbox of each team they're on.
That includes owners and managers. To see a team's voicemail, be on the team. Each team has its own shared mailbox.
Delete voicemail
- One message: on the Calls page, open the call's details and click Delete voicemail, or click Delete on the call's page. The call stays in the list. A deleted message can't be brought back.
- Old messages: with Voicemail or Unheard voicemail picked, click Delete N heard voicemails older than 30 days. The emails you already got aren't affected.
- Many at once (owners, managers and admins): click Select, tick the calls, then Delete N voicemails.
A mailbox holds up to 1,000 messages, and each message can be up to 2 minutes long.
