Introduction
Welcome to Tonet's documentation. This guide covers everything you need to set up and manage your business phone system.
What is Tonet?
Tonet is a business phone system built for small businesses. You get call routing, extensions, voicemail with AI transcription, SMS, call recording, auto attendant menus, and more - starting at $15 per user per month with no contracts.
Dashboard Overview
After signing in at dashboard.tonet.ai (opens in a new tab), you'll see the main dashboard.
Sidebar
The left sidebar is your main navigation:
- Overview - Your call feed, team status, active calls, and search
- Analytics - Call history, recordings, and voicemail
- Chat - SMS messaging and instant messaging between team members
- Contacts - Your contact list
- Manage - Admin section (owners and managers only) for Phones, Users, Groups, Auto Attendant, Schedule, Calendar, and Billing
Below the navigation, the sidebar shows two panels:
- PHONES - Quick-access list of all your phone numbers. Click the + button to purchase a new number.
- TEAM - Your team members with live online/offline status. Green dot means they're currently logged in and available to take calls.
Top Bar
The top bar appears on every page:
-
Menu - Collapse or expand the sidebar
-
Clock - Current time in your account's timezone. This is the timezone that drives your entire phone system - schedules, calendars, and auto attendant routing all follow this clock. You can change your timezone in Profile.
-
Connection quality - Shows your network connection to the phone system. Green (4 bars) means a strong connection, yellow (2 bars) means slow, and red means degraded. Click for detailed network diagnostics.
-
Dialpad - Open the softphone to make calls from your browser (see below)
-
Notifications - Missed call alerts, voicemail notifications, and system messages
-
Support - Contact support directly from the dashboard
-
Balance - Your current account balance. Click to go to Billing. Visible to managers and owners only.
-
Profile avatar - Account menu and settings
Dialpad / Softphone
Click the dialpad icon in the top bar to open the built-in softphone. This lets you make and receive calls directly from your browser - no desk phone or app required.
The dialpad shows a "From" number selector (choose which of your phone numbers to call from), a field to enter the number you're dialing, and the number pad. Click the green call button to place the call. You need an active account with a positive balance for the dialpad to be enabled.
Overview Page
The Overview page is the first thing you see after logging in. It combines a real-time communications feed, team status, and live call monitoring in one view.
Controls
- Team / User toggle (admin only) - Switch between viewing all team activity or just your own calls and messages. Your preference is saved between sessions.
- Month / Today toggle - Filter the feed to show the current month's activity or just today's.
All Communications Feed
The main panel shows a chronological feed of all activity on your phone system. Each event is color-coded with a left border:
- Green - Answered calls
- Red - Busy calls
- Blue - Unanswered calls (no answer, ringing timeout)
- Grey - Failed calls
Each call entry shows direction, participants, duration, and disposition. If a call has a recording, you can play it inline. If a call has been transcribed, you can expand it to read the transcript right from the feed.
Message events show a preview of the text (first 280 characters) with a "Read more" option, plus any media attachments (images, files).
You can also add notes to the feed for your own reference.
Search and Filters
Use the search bar at the top of the feed to search across all calls, messages, and transcriptions. You can toggle filters to show only:
- Calls
- Text messages
- Transcripts
Search results are highlighted and you can navigate between matches.
Users Card
The sidebar card shows how many team members are currently online (e.g. "3 / 5 online") with a link to the Users management page.
Active Calls
Below the communications feed, the Active Calls panel shows all calls currently in progress on your phone system. Each active call displays the team member, the remote party's number, and a live duration counter.
Managers and owners can also listen in on active calls or whisper coaching to team members without the caller hearing. See Call Monitoring for full details.
