Calendar: route calls on holidays and closures

Send calls somewhere else on holidays, closures and special days. Add a calendar event, choose where calls go, then pick the event on your numbers.

Last updated on

A calendar event sends a number's calls somewhere else for a set time, like a holiday, a closure or a team day out. While the event is on, it beats the number's schedule and Go To.

Owners, managers and admins manage events in Manage › Calendar.

Add an event

  1. Go to Manage › Calendar and click New Event. Or click a day on the calendar, or drag across several days, to start an event with those dates.
  2. In Add Event, fill in:
    • Title, like "Thanksgiving"
    • Destination: where calls go during the event. Pick from Users, Teams, IVRs (menus), Voicemail or Features.
    • Start date and End date, each with a time
  3. Click Confirm.

Turn the event on for a number

An event changes nothing until a number picks it.

  1. Go to Manage › Phones and click the number.
  2. Open the Route & settings tab.
  3. In Calendars, tick the event. A number can use several events.
  4. Click Save Settings.

New events aren't added to numbers on their own. Repeat these steps on every number that should follow the event.

How Tonet picks where a call goes

When a call comes in, Tonet checks in this order:

  1. An event picked in the number's Calendars that is happening now
  2. The number's schedule
  3. Go To

Change the view

Use View at the top: Month, Week, Day or Agenda (a list of the month's events). The arrows next to it move back and forward.

Change or delete an event

  • Change it: click the event, make your changes in Edit Event, and click Confirm.
  • Delete it: click the event, then click the bin at the bottom left of Edit Event. It's deleted at once, with no undo, and taken off every number that used it.

Example: a holiday

  1. Make a "Holiday" menu with your holiday greeting. Need words? Copy a holiday script.
  2. Click New Event:
    • Title: Christmas
    • Destination: IVRs › Holiday
    • Start date: Dec 24, 5:00 PM
    • End date: Dec 26, 8:00 AM
  3. Click Confirm.
  4. On each number, tick "Christmas" in Calendars and click Save Settings.

From Christmas Eve at 5 PM until 8 AM on Dec 26, callers hear your holiday menu. Then your usual hours apply again.

Busy under Features gives callers a busy signal and nothing else. A short holiday greeting tells them when you're back and how to leave a message.
